How to migrate subscriptions from other subscription apps

This tutorial will guide you through the process of bulk importing subscriptions from other subscription apps into EverFlow Subscriptions App to save time and effort.

After following this tutorial, you will be able to upload CSV files, select the subscription apps you’re migrating from, view and manage your imported subscriptions, and handle any errors or issues that may arise during the import process.

Before you begin, make sure you have:

  • CSV files ready for import. Ensure the data follows the structure of the sample file provided for the subscription app you’re migrating from.

How To Migrate Subscriptions From Other Subscription AppsClick to copy

Step 1: Access EverFlow AppClick to copy

In the first step of importing the Subscriptions, you navigate to the “Subscription” Dashboard in EverFlow App and choose Import.

After that, you click on it to access the bulk import page where you’ll upload your CSV files to import the Subscriptions.

Step 2: Access And Upload CSV FileClick to copy

You have to select a subscription platform that you want to migrate subscriptions from.

From there, some available options are:

  • Recharge
  • Appstle℠
  • Seal
  • Subify
  • Utterbond
  • Shopify
  • Other apps (which will use the generic sample file)

After selecting the app, download the sample CSV file provided for that specific app. This file format is pre-configured to match the app’s subscription data structure.

You can either fill data in the sample file or use the file directly exported from the selected app. Make sure your file matches the format of the selected app.

Please be noted that the maximum file size allowed is 10MB per CSV file.

After adding files, click Upload. A popup will show to confirm that Subscriptions uploaded from the previous files won’t be removed from the import list.

Or if you want to replace another file, select “Remove file” and upload another one.

After the file has been uploaded successfully, you’ll see a list of all the subscriptions contained in the CSV file.

Step 3: Review And Edit SubscriptionsClick to copy

In this column, you will see a list of all subscriptions contained in the CSV File.

Besides, you can see the subscription details, such as:

  • Subscription ID
  • Customer email
  • Import status (only displays after the import process finishes)
  • Failure reasons (only display after the import process finishes)

You can also sort the list by:

  • Created time
  • Import status
  • Customer email

Edit subscription dataClick to copy

You can make changes to the subscription details directly on this page before importing them. For example, you can correct the delivery interval, next billing date, or customer ID. Please be noted that these information are included in the CSV File before.

Besides, you cannot edit Imported Subscription.

If you want to edit Subscription, click on the Subscription ID you want to edit. There are some needed information of the Subscription:

  • Subscription info
  • Subscription policy
  • Currency code
  • Products
  • Customer
  • Payment
  • Order Note

Subscription InfoClick to copy

From here, you can see the Subscription ID, Status, Created Date, Next Billing date, Delivery internal, Billing interval.

However, you cannot edit the Subscription ID and Created Date as it is automatically created when the subscription is imported.

You can set the Subscription Status as Active, Paused or Cancelled.

You can set the Next Billing Date and the Delivery Interval.

And you can choose the Billing Interval by enabling the Prepayment option.

Subscription PolicyClick to copy
  • Enable Cancellation Policy: When you enable this policy, you need to input the number of successful recurring payments required before customers can cancel the subscription.

However in this case, if you don’t allow customers to cancel the Subscription, this policy will not work. Learn more at “Customer Portal Page”.

  • Enable Automatic Expiration: When you enable this option, you have to input the number of successful recurring payments until automatic expiration.

Currency CodeClick to copy

This option cannot be edited as EverFlow will automatically use the currency code set in Shopify Setting → Payments.

ProductsClick to copy

You can add the Products to apply for this Subscription. It will show the Product ID, Quantity, Unit Price and Subtotal.

You can add the Products by searching the Product Name on the Search bar.

Or you can add the Products by choosing the Browse option.

You can edit the Quantity and the Unit Price for each Product.

You can also remove the products you added.

You can see the Subtotal of all products added.

CustomerClick to copy

You can input the name of Customer on the Search bar. And when you choose the Customer Name, their email will automatically appear which cannot be edited.

Or you can Browse to search for their name.

You can edit their Shipping Address.

PaymentClick to copy

You can select the Payment method connected to the customer you have added.

Order NoteClick to copy

You can input the Order Note for the subscription.

After editing all information, click Done to finish.

Step 4: Import SubscriptionsClick to copy

For the Imported Subscriptions, please be noted that Subscriptions can’t be imported if subscription ID, currency code, delivery interval, next billing date, product, customer ID and shipping address are missing or invalid.

After finishing all above steps, it is time to import the Subscription. You can perform bulk importing by selecting many subscriptions and clicking Import. You will see the Import status is “Imported”, which means it has been successfully imported and will display in the subscription listing of Subscriptions section. When the Subscription fails to be imported, it will show the status Failed and  the Failure Reason. In this case, just update the subscription as failure reasons stated and import again.

In addition, you can bulk import multiple subscriptions.

Delete Subscriptions From The Import ListingClick to copy

You can remove subscriptions from the import list by ticking the box and choosing Delete. However, removing an imported subscription from the import list will not delete it from Subscriptions of EverFlow App.

Or you can simply select the Delete option in the import subscription listing.

Case 1: Some of your imported subscriptions are showing as failed due to missing customer IDs or incorrect billing information.

Use the edit feature to update the subscriptions with the correct data and try importing again.

Case 2: You have several CSV files for different subscription apps and want to upload them one at a time.

You can upload one CSV file at a time, but you are allowed to remove an existing file and upload another without losing the previously uploaded subscriptions.
